Joybody Physio & Pilates ("Joybody," "we," "us," "our") is committed to protecting your personal information. This policy explains what we collect, why, and how you can reach us with questions or requests. It applies to patients, prospective patients, and visitors to thejoybody.com.
We collect and use personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and Canada's Anti-Spam Legislation (CASL).

Information We Collect
When you become a patient, we collect information necessary to provide your care, including your name, contact information (phone, email, address), health and treatment information, and appointment history. This information is collected through our practice management system, Jane App, typically when you complete an intake form. If you are a minor, this information is provided and consented to by your parent or legal guardian, and the rights described in this policy may be exercised by them on your behalf.

How We Use Your Information
We use your personal information to provide physiotherapy, clinical Pilates, and related care; schedule, confirm, and remind you of appointments; contact you when an earlier appointment time becomes available, so you have the option to take it; invite you to share feedback about your visit, including Google reviews; communicate with your family doctor or referring provider where necessary for your care, and only with your consent; process payments and insurance billing; and meet our legal and professional obligations as a healthcare provider.
We do not sell your personal information, and we do not use it for third-party marketing.

Use of Automated Systems
We use automated systems to help identify when an earlier appointment time has become available and to prepare and time review invitations after your visit. When an earlier appointment opens up, a member of our team reviews the outreach before it is sent to you. Automated messages are always identified as coming from Joybody, and every message includes a way to opt out.

How We Contact You
With your consent, we may contact you by text message or email about your appointments, including when an earlier appointment opens up, and to invite you to share feedback after a visit. Every message we send includes a way to opt out: reply STOP to any text message, or use the unsubscribe link in any email. Opting out takes effect immediately and does not affect your ongoing care or your appointment reminders through Jane.

Website Analytics
Our website uses trusted third-party analytics and marketing tools to understand how visitors find and use our site, so we can improve it. Some of these tools may identify individual visitors or the organizations they are associated with.
This information is separate from, and never includes, patient health or treatment information.
You can disable cookies through your browser settings. If you would like a list of the tools we use, or would like to be excluded from them, contact our Privacy Officer below.

Service Providers
We use trusted service providers to help us run the clinic and communicate with you — including practice management, appointment messaging by text and email, payment processing, and secure data storage. Your patient records and health information are held in Jane App, a Canadian practice-management company, with data hosted in Canada.
Some of our service providers store or process information outside of Canada, including in the United States. Where this occurs, that information may be accessible to foreign courts, law enforcement, or government authorities under the laws of that jurisdiction. Each provider is contractually required to protect your information to a standard comparable to Canadian privacy law, and we share only the minimum information necessary for them to perform their function — typically your name and contact information, never your health records.

How We Protect Your Information
We limit access to personal information to what each system needs to function, use encrypted connections and access controls, and never store payment or detailed medical information outside of Jane App.
In the event of a breach of security safeguards involving your personal information where there is a real risk of significant harm to you, we will notify you and report the breach to the Office of the Information and Privacy Commissioner for British Columbia, as required by law.

Your Rights
You have the right to access the personal information we hold about you, request corrections, withdraw your consent to non-essential communications at any time, and ask questions about how your information is used. To exercise any of these rights, contact our Privacy Officer below.
If you have a concern about how we have handled your personal information that we have not resolved to your satisfaction, you also have the right to contact the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca).

Retention
We retain patient health and treatment records for a minimum of 16 years following the date of your last treatment, or until you reach the age of majority plus the applicable retention period if you were a minor at the time of treatment, consistent with the record-keeping standards for physiotherapy practice in British Columbia. Other personal information is retained only as long as needed for the purposes described in this policy, after which it is securely deleted or anonymized.

Minors
We provide care to patients of all ages, including minors, such as through our prenatal and postpartum programs and family care. Where a patient is a minor, personal information is collected with the consent of a parent or legal guardian, and appointment and communication preferences are managed by that parent or guardian.
